A. System Identification In order to properly identify your source system, we ask that all customers fill out a questionnaire. Proper preparation at the early stage may save a great deal of time and contribute to the success of the conversion in the long run. From the questionnaire information, we will be able to establish an overall plan for the conversion. When making a plan, we take the pharmacys time constraints into account we will work around your schedule!
B. Test Data (2-3 weeks before live date) 2pt will make a trial run on the source pharmacy system. By getting the data well in advance of the live date, we can anticipate any difficulty, solve it, and know exactly what to expect during the real thing. We will always choose the method that requires the least effort on the pharmacy staffs part. The test data will be used extensively during the process.
C. Test Data Conversion (2-3 weeks before live date) The test data gets run through programs that strip it into its individual data fields. These fields are place in a specialized database maintained by 2pt. This will give us maximum control over your data for testing purposes. During this stage, our Quality Assurance Techs will look the data over every which way they can. Our programmers will be involved as well to adjust our programs for your individual system. We have developed sophisticated tools to take a broad look at the files and identify problems before they ever leave our office.
In many cases we will require interaction with the pharmacy in order to get accurate examples from your system. This is the metaphorical "box top" to the conversions "jigsaw puzzle". Please make certain that your staff takes the time for this very important process. <Link to Example Sheet>
D. Translations (2 weeks before live date) 2pt will frequently work closely with you and your new vendor to translate certain data elements. For example, Your source system may allow eight characters to describe the third party agency name. Your new system may use a three-space code. In this case, a translation list will be created for your pharmacy. <Link to Translation Form>
Formulary issues may often be worked out at this stage. Decisions may also be made on the handling of compounds, transfers and the treatment of allergy codes.
E. Test Data Delivery (2 weeks before live date) 2pt will deliver test data to you or your vendor for inspection. Depending on your system we will either deliver the data to your system directly, or to your vendor who will deliver the data. When ever possible the pharmacy staff should get full access for testing purposes. Test data may be used by your vendor to improve the training procedure.
F. Customer Tests Data (1-2 weeks
) The customer must budget several hours for data testing. Despite our testing procedures only you can truly verify the accuracy of the data. Thorough testing is essential to the success of the conversion. We shall provide a framework for testing the data. <Link to File Cabinet How To Check Data >
G. Problem Reports and Fixes If problems are found in the testing process they must be accurately reported to our QA team. It is important to keep track of specific examples write them down. Please report problems as soon as they are found. We will adjust the programs and send you another set of test files.
H. Go-Live
When the data is perfect we are ready for the live date. 2pt will pull data from the source system one last time. The majority of jobs take place overnight or over a weekend. Most receive seamless prescription coverage. It may be necessary to miss one or (very rarely) two days.
